The transcription process begins when dictators record voice files using handheld recorders or a call-in dictation system. Dictation files are automatically imported into DocShuttle Dictator and uploaded to the FTP site. Transcribed documents appear for the dictator as the transcriptionist completes them. Completed documents can be automatically downloaded and printed. The process for the dictator is fully automated. There is even an option for electronic signature.

Transcriptionists using DocShuttle Client select voice files marked with a New status and download them to their local PC. DocShuttle integrates with Bytescribe WavPlayer to control voice files with a foot pedal. Microsoft Word templates automatically appear for the transcriptionists. As files are transcribed, the completed documents are sent back to the FTP server. Documents needing review can be directed to a QA person for editing. The process is very easy and efficient.
The administrator using DocShuttle Administrator oversees the status of each job in the transcription process. The administrator sets permissions for each user and directs users to the proper work pool. The administrator automatically receives copies of each completed document. DocShuttle Administrator automates tasks such as file printing, purging and archiving data. Detailed status and billing reports including line counts and turn around times can easily be created. |
Setting Up DocShuttle Dictator is so easy.
The host address, username and password are provided and must be entered in the DocShuttle Dictator window.

Once the settings have been entered, simply press the 'Connect' button on DocShuttle Dictator to connect to the FTP site. Once connected, all new files can be uploaded by pressing the "Upload New Files" button. Many functions such as running reports and moving files can be performed by right-mouse-clicking within the panes of the DocShuttle Dictator window.

Importing Voice Files from Handheld Recorders
Voice files may be imported from digital handheld recorders or other systems that create sound files. DocShuttle will import files that have *.wav, *.vox, *.dss, *.mp3, *.msv, and *.dvf extensions. Other sound file extensions can also be specified in the settings on the Local tab. |
Creating Reports
Reports may be easily created using the Document Manager window. Simply select Options | Custom Report from the Document Manager menu.
To create a report, select the criteria from the dialog box and click the Create button.
